Step 3: Use the FINANCE™ Editor in the Smart Item

Depending on how you configured the field, the behavior in the form will vary.

If Configured for “Create New”:

  1. In the form, click the CREATE BUDGET button or the + icon.

  2. A new Budget (e.g., “Budget - 001”) will be automatically created and opened.

  3. Add line items to the budget as needed.

  4. Click Done to finish editing.

  5. The form will display:

    • Budget Name

    • Last Modified Date

    • Grand Total of Original Budget Amount

    • Total Number of Items

    • Budget Status

  6. Click Save on the Smart Item to finalize the mapping.

Note: If the Smart Item is not saved, the newly created Budget will also be discarded.

If Configured for “Select from Existing”:

  1. In the form, click the SELECT BUDGET button or the Select Budget dropdown.

  2. Choose a Budget from the list that matches your status filter.

  3. After selection, the Budget’s details will display:

    • Budget Name

    • Last Modified Date

    • Grand Total

    • Line Item Count

    • Status

  4. Click OPEN BUDGET to view or edit the selected Budget if needed.

  5. Save the Smart Item to complete the mapping.

If Configured for Both “Create New” and “Select from Existing”:

  1. The interface will show both the + icon and Select Budget dropdown.

  2. Choose either method:

    • Create a new Budget using +

    • Select an existing one using the dropdown

  3. Once selected or created, the details will be displayed in the Smart Item.

  4. Save the Smart Item to confirm and apply the Budget mapping.

Additional Notes

  • Only one Budget can be mapped to a Smart Item at a time.

  • If a new Budget is created and saved, it will automatically update its name to include the Smart Item reference (e.g., “Budget - AR-0276 - 001”).

  • Clicking the Delete icon will remove the mapping from the Smart Item but will not delete the Budget itself.
