If you need to temporarily stop a bid—whether to revise details, adjust timelines, or make internal changes—you can easily pause it. Pausing a bid prevents any further responses or edits from being made by bidders until you’re ready to reopen it.
This guide explains how to pause a bid, what happens when you do, and how to reactivate it when you’re ready.
How to Pause a Bid
You can pause a bid from either the Right Pane or the Menu Bar in the Bid Manager view.
Option 1: From the Right Pane
Open the bid you want to pause.
In any of the bid tabs (e.g., Details, Award Bid), click Pause Bid.
A confirmation pop-up will appear. Enter the reason for pausing the bid (this is required).
Click Yes to confirm.
Once confirmed:
The bid status changes to Paused.
A yellow banner appears noting the pause.
An email notification is sent to all bidders with your reason included.
Option 2: From the Menu Bar
Select an active bid.
Click the Pause icon in the top menu bar.
The same confirmation pop-up will appear. Enter the required reason for pausing.
Click Yes to confirm.
What Happens When You Pause a Bid
When you pause a bid:
Bidders are notified by email that the bid has been paused.
They can no longer submit or edit their responses.
A reason for pausing must be entered and is included in the bidder notification.
A banner appears across the bid to show that it's been paused.
The status of the bid changes from Active to Paused.
You’ll see an Edit Bid button instead of Pause Bid, allowing you to make updates.
What Bidders See
When a bid is paused, bidders receive an email informing them that bidding is temporarily halted. If they open the paused bid:
If they haven't submitted a response yet, they’ll see a yellow banner noting that the bid is paused.
If they already submitted a response, they'll see a banner noting that the bid has been paused and responses cannot be updated.
How to Reactivate a Bid
Once you're ready to continue the bid:
Click the Edit Bid button on the paused bid.
This changes the status to Ready To Post, and the bid becomes editable. A yellow banner will appear saying the bid is ready for posting.
Make any necessary changes (e.g., line items, descriptions, budgets).
Click Post Bid.
After posting:
The bid status changes to Active or Scheduled (based on the start date).
Bidders are notified by email that the bid has been reopened.
Note:
You cannot post a bid if the Bid End Date is in the past. Update the end date to a future date before posting.
What Bidders See After Reopening
When a paused bid is reopened:
Status: Bidders see the status as Bid Reopened.
If no line items have changed, they can re-submit their responses immediately.
If new line items were added, they must enter new values before submitting.
If line items were removed, those will appear grayed out with a note that they’re no longer included in the total bid value.
Bidders are always shown a confirmation screen before resubmitting any changes.
